Why the blend columns deserve their own attention
This is the part people skip and regret skipping. A lot of what you buy from suppliers, fragrance oils, preservative systems, some active complexes, isn't a single ingredient. It's a blend sold under one trade name. If your tracker only has a row for "Fragrance Oil X" without breaking out what's actually inside it, you have no way to check any individual component against a restricted or prohibited substance list, and no way to calculate an allergen's real concentration in your finished product.
Whenever you get documentation on a blend, pull the component breakdown, usually from the SDS section 3 or a supplier-provided composition sheet, and give each component its own line, noting what percentage it represents within the blend. That's what lets you later multiply the component's share of the blend by the blend's share of your finished product to get the real, finished-product concentration.
Setting a review cadence
A tracker only stays useful if someone actually looks at it periodically. A few habits that keep it alive rather than stale:
- Add a row the moment you order a new ingredient, before the first shipment even arrives, so the gap is visible immediately if documentation is slow to follow.
- Set a recurring reminder, quarterly is reasonable for most small operations, to spot-check "last verified" dates and follow up with suppliers whose documents are aging.
- Flag anything restricted or concentration-limited directly in the notes column, so it's visible at a glance rather than requiring you to cross-reference a separate list every time.
- Update the sheet immediately when you switch suppliers for the same ingredient. Same INCI name, different supplier, is a new row, not an edit to the old one, since sourcing and composition can differ.
