Reading a Certificate of Analysis Without an Expert

Which values on a raw material's certificate of analysis actually matter when deciding whether to accept or reject a lot.

Every raw material shipment tends to arrive with a document nobody asked to be handed: the Certificate of Analysis. Most small brands either ignore it or file it away unread, and both reactions are a little risky. You don't need a chemistry degree to get real value out of a CoA, you just need to know which four or five lines on the page are worth your attention.

What a CoA is actually for

A Certificate of Analysis is the supplier's statement that a specific batch or lot of a raw material was tested and meets certain specifications before it left their facility. It's lot-specific, not product-specific, meaning the CoA for the shea butter you bought in March describes that particular batch, not shea butter in general. A new shipment months later should come with its own new CoA.

It's a different document from a Safety Data Sheet. An SDS is about handling and hazard information, organized into 16 standard sections with composition information sitting in section 3. A CoA is about whether this specific batch of material meets the supplier's stated quality specification.

The values worth actually reading

Ignore the header formatting and go straight to these:

  • Identity confirmation: does the CoA confirm the material is what you ordered, ideally cross-referenced to an INCI name or CAS number? This sounds obvious but mismatched or vague identity fields are a real red flag.
  • Appearance and physical properties: color, odor, physical form (liquid, powder, wax) compared against your expectation for that material. A batch that's visibly off-spec here often signals a bigger issue even if the numbers look fine.
  • Purity or assay percentage: for actives and functional ingredients, this tells you the actual concentration of the substance you're buying, which matters directly for your own formula's concentration calculations. If a supplier's niacinamide comes in at 98 percent assay instead of the 99.5 percent you budgeted for, your finished product's real concentration shifts slightly too.
  • Microbial testing results, where relevant, especially for water-containing or botanical raw materials that are more prone to contamination before they even reach your workshop.
  • Heavy metals or contaminant testing, when the supplier provides it, particularly relevant for mineral-based ingredients like some micas and clays.
  • pH, for materials where pH is a meaningful quality indicator, like liquid surfactants or botanical extracts.
  • Expiry or retest date, so you know how long that specific lot is good for, separate from your own finished product's shelf life.

What to do when a number looks off

A single reading slightly outside spec isn't automatically a reject, but it should trigger a conversation with the supplier rather than a shrug. Questions worth asking:

  1. Is the deviation within the supplier's own stated tolerance, or genuinely outside it?
  2. Does the deviation affect the property you actually rely on for your formula (assay percentage for an active, pH for a surfactant), or is it cosmetic to the CoA and not functionally relevant?
  3. Can the supplier provide a retest or a corrected CoA for that lot?
  4. If you proceed anyway, does the deviation change your own concentration math or usage rate for that ingredient?

Keep the paper trail

However you handle the review, keep the CoA on file against that specific batch and note anything you decided to accept despite a minor deviation, and why. If a finished product's safety or performance is ever questioned down the line, that record of raw material quality is part of what supports your safety substantiation, and in some markets it's expected as part of the documentation regulators or auditors can ask to see.

None of this replaces having a properly qualified person review CoAs for anything you're genuinely unsure about, especially for actives with tight tolerance requirements. But for the everyday judgment call of "do I accept this shipment," knowing which five fields to actually read turns a document you were ignoring into one that's doing real work for your quality control.
