Reading a Product Spec Sheet Alongside the SDS
What a supplier's spec sheet tells you that the SDS doesn't, and which filing fields depend on each document.
Every raw material order comes with two documents that look similar enough to blur together, but they're built for completely different jobs. Mix them up and you'll either be missing information you needed or hunting through the wrong document for something it was never designed to tell you.
Two documents, two purposes
The safety data sheet (SDS) exists for hazard communication and safe handling. It's standardized into 16 sections covering everything from hazard identification to first aid measures to disposal considerations, with section 3 specifically covering composition and ingredient information. It's built around a common structure precisely so that anyone in any country, using any supplier, can find the same kind of information in the same place.
The spec sheet (sometimes called a certificate of specification, technical data sheet, or product specification) isn't standardized in the same way, and it exists for a different reason entirely: describing the physical and functional characteristics of the specific batch or product line you're buying. Think appearance, pH range, viscosity, particle size, solubility, recommended use levels, and shelf life. It's the document a formulator reaches for when developing a recipe, not the document reached for when assessing hazard.
What the spec sheet gives you that the SDS doesn't
- Recommended use range. An SDS won't tell you a preservative works best at 0.5 to 1.0%. A spec sheet often will, because that's formulation guidance, not hazard communication.
- Physical properties for formulation planning. pH, viscosity, melting point, appearance, and solubility all help you figure out how an ingredient behaves in your specific recipe, information the SDS generally doesn't cover in that kind of formulation-focused detail.
- Batch-specific or lot-specific data, sometimes including a certificate of analysis showing actual test results for the lot you received, rather than general hazard classification that applies to the substance broadly regardless of batch.
- Shelf life and storage recommendations tailored to maintaining product performance, distinct from the SDS's storage guidance, which is centered on safe handling rather than product stability.
What the SDS gives you that the spec sheet doesn't
- Hazard classification and precautionary statements, the information you need for workplace safety and for understanding what handling precautions matter.
- Composition detail in section 3, which is often your best source for mapping a trade-named blend back to its actual INCI components and CAS numbers, since spec sheets sometimes describe a blend more loosely or emphasize function over exact composition.
- First aid, fire fighting, and accidental release measures, none of which a spec sheet is built to cover.
- Regulatory information sections, which can include hazard-related regulatory status, distinct from cosmetic notification requirements but still useful background.

A practical way to use both together
When you're building out a formula and preparing to file a notification, pull both documents for every raw material and use them for what they're each good at:
- Start with the spec sheet to confirm the ingredient behaves the way you expect and to plan your use level.
- Cross-reference the SDS, especially section 3, to confirm the actual INCI components and CAS numbers, particularly for anything sold under a trade name or as a blend.
- If the two documents seem to disagree on composition, which happens more often than it should, go back to the supplier directly rather than guessing which document is more current.
- Keep both documents on file per supplier and per product, since either one might get requested by a retailer, a regulator, or your own safety assessor down the line.
